Commercial Fire Alarm FAQ for Building Owners & Facility Managers

These are the questions we actually get from facility managers, property managers, building owners, municipal staff, and contractors across Massachusetts and New Hampshire — answered the way we’d answer them on the phone. One caution before you read: code-related answers here are general. What your building requires depends on its occupancy, its systems, and your authority having jurisdiction (AHJ), and nothing on this page is a compliance determination for your property. Service & repair

My fire alarm panel is showing a trouble condition. What does that mean?

A trouble condition means the panel has detected a problem with the system itself — a wiring fault, a failed device, a low battery, a communicator that can’t reach the central station — not a fire. The system may still work, but some part of it is no longer being supervised the way it should be, and in an occupied commercial building that’s not a condition to live with. Most panels let you acknowledge the audible signal at the panel; that’s fine, but the acknowledgement is not the fix. Note what the display says — most panels scroll a text description of the fault — and call us at 617-207-2777 with the panel make and the message. Trouble conditions that sit for weeks have a way of resurfacing as inspection deficiencies, or as a system that doesn’t perform when it has to.

The panel is in alarm right now. Who should I call?

Fire, smoke, or anyone in danger? Call 911 now. System trouble, a panel in alarm or trouble, or an impaired system in an occupied building? That’s an urgent service call — phone us at 617-207-2777. The distinction matters: 911 brings the fire department, a service call brings a technician. If the system is impaired in an occupied building, say so when you call — an impaired system changes how the situation should be handled, and your AHJ may have expectations about impairment procedures and fire watch that we can walk you through.

The alarm keeps activating and nobody can find a fire. Can you fix nuisance alarms?

Usually, yes — because nuisance alarms have causes. The common ones: detectors contaminated with dust from construction or years of accumulation, a detector type wrong for its space (smoke detection where steam, cooking, or exhaust reaches it), aging devices drifting out of sensitivity, and wiring faults that mimic activations. The wrong answer is pulling detectors or disabling zones — that leaves the building unprotected and creates real liability. The right answer is diagnosis: identify which device initiated, work out why, and correct the cause. We document what we found and what we changed, so the next person to ask about it gets a real answer.

Can you service a fire alarm system that another company installed?

In most cases, yes. Commercial fire alarm service doesn’t belong to the installer, and buildings change service companies all the time. The honest caveat is proprietary platforms — some panels restrict programming access to certain dealers, and that limits what any outside company can do. Give us the panel make and model when you call and we’ll tell you up front whether we can fully support it, partially support it, or whether you’re better off elsewhere. We’d rather lose a call than string a building along.

What fire alarm brands do you work on?

Our technicians have hands-on experience with commercial fire alarm platforms including Autocall, Notifier, Edwards/EST, Fire-Lite, Silent Knight, Farenhyt, and Simplex. We are happy to talk through your specific panel before we come out. If your panel isn’t on that list, ask anyway — the answer depends on the platform and whether it’s proprietary, and it costs nothing to find out before anyone rolls a truck.

What should I have ready when I call for service?

The panel make and model, what the display is showing (a photo of the panel and its message is worth a lot), whether the building is occupied, how a technician gets access, and any recent work in the building — a contractor cutting into a wall is behind more fire alarm faults than most people expect. If you have past inspection reports or a device list, even better, but don’t wait to call because you can’t find paperwork. Part of what we do on a first visit is rebuild the picture of a system nobody has records for.

Inspections & testing

How often does my building’s fire alarm need to be inspected and tested?

For most commercial buildings, recurring inspection and testing schedules come from the state fire code and NFPA 72 as adopted in your state — annual testing is the most common anchor, and certain components are on more frequent cycles. The exact requirements depend on your occupancy, your systems, and your AHJ, and your insurance carrier may layer its own expectations on top. We confirm what applies to your specific building before we quote a testing program. Nothing here is a compliance determination for your property.

What actually happens during an annual fire alarm test?

Functional testing, device by device: initiating devices — pull stations, smoke and heat detectors, duct detectors, waterflow and tamper switches — are activated and verified at the panel; notification appliances are confirmed audible and visible; panel functions and standby batteries are checked; and communicator signals are verified with the central station. Before any of it starts, the monitoring account goes on test so nobody dispatches the fire department on a drill. The output is a report that records what was tested, what passed, and what didn’t — not a sticker on the panel and a handshake.

What paperwork should I get after an inspection — and what will the fire inspector ask for?

You should get a completed inspection and testing report that lists the devices tested and their results, plus a deficiency list if anything failed or needs attention. When a fire inspector or insurance auditor visits, the usual asks are the most recent test report, evidence that prior deficiencies were corrected, and sometimes records going back several cycles. We build our reports so you can hand them straight across the table — organized, legible, and complete — because a good test with bad paperwork looks the same as no test at all.

The inspection report lists deficiencies. Am I in trouble?

Not automatically — deficiencies are the system working as intended: testing found problems while they’re still repairs instead of failures. What matters is what happens next. The report is on record, and the AHJ or your insurer will expect corrections. We triage what’s urgent (anything affecting detection, notification, or the monitoring path) from what’s administrative, quote the corrections, do the work, and document the closure so the record shows the loop was closed. The only genuinely bad move is filing the report and hoping nobody reads it.

Will fire alarm testing disrupt my tenants?

Some of it is unavoidably audible — notification appliances have to be proven, and there’s no quiet way to do that. What’s controllable is everything around the noise: advance notice to tenants, floor-by-floor sequencing so no one sits through hours of horns, the monitoring account on test so there’s no accidental dispatch, and off-hours scheduling where the occupancy demands it — schools in session, healthcare floors, second-shift industrial. Do I have to use the company that installed my system for testing?

Generally, no — inspection and testing is not tied to the original installer, and switching is routine. The practical caveat is the same one that applies to service: proprietary platforms can limit what an outside company can access. Monitoring & takeovers

Can you take over monitoring from my current provider?

Usually, yes. A takeover means identifying the communicator in your building and how it reports, gathering the account details, and moving the signal path to a central station under an agreement you actually control. What makes takeovers messy in practice: account passcodes nobody wrote down, agreements nobody can find with auto-renew terms nobody read, and communicators quietly dependent on phone lines that are half-disconnected. We’ve untangled all of these. Start by telling us what the panel is and what you’re paying — even if you’re not sure who you’re paying it to.

Will my building go unmonitored during the switch?

Not if the takeover is sequenced properly — and the sequence is the whole job. The new signal path gets established and test signals get verified with the central station before the old account is cancelled, then the documentation is updated so your fire department dispatch information and call list are current. The one mistake to avoid: don’t cancel your existing monitoring first and then go shopping. Call first, cancel last.

Our fire alarm still reports over copper phone lines. Do we need to do something?

Sooner or later, yes. Carriers across New England have been retiring and repricing traditional copper phone service for years, and older dialers that depend on those lines are running on borrowed infrastructure — often at surprising monthly cost for a pair of lines nobody remembers ordering. The common path forward is a cellular or IP communicator reporting to the central station. What your building specifically needs depends on the panel, the current signal path, and your AHJ’s requirements, so we look at what’s installed before recommending anything.

What does the central station actually do when my alarm goes off?

The signal arrives with your account information and, on most modern systems, the zone or device that initiated. Operators act on your account’s instructions: fire alarm signals go to the fire department’s dispatch point, and the people on your call list get notified. Supervisory and trouble signals are handled per the same instructions — which is why keeping the call list current matters more than most buildings realize. A monitoring account that still lists a property manager who left in a previous decade is a common find on takeovers, and an easy fix.

I inherited a building and have no idea who monitors it or what it costs. Can you help?

Yes — this is common, and it’s solvable. The panel and communicator tell us how the system reports, test signals tell us where they land, and from there the account can be identified and brought under an agreement you control. Ask us to review your current monitoring agreement — many buildings are paying legacy rates for service they could get on better terms.

Installations & upgrades

My panel is discontinued. Do I have to replace the entire system?

Not necessarily. A discontinued panel with available parts can often be serviced for years; a panel with no parts support is a different conversation. When replacement is warranted, the question becomes what carries over — in some cases existing devices and wiring can be reused with a compatible new panel, and in others, device age, wiring condition, or code requirements triggered by the work make reuse a false economy. We look at what’s installed and put the reasoning in writing either way. If spending money on the old panel is spending it badly, we’ll say so.

We’re renovating. When should the fire alarm contractor get involved?

Early — at pricing and design, before walls close. Renovations touch fire alarm scope more than most schedules account for: devices get relocated or added, occupancy or layout changes can change what the system must do, and the AHJ typically wants submittals reviewed before the work, not explanations after it. When we’re brought in early, the fire alarm scope gets priced once and coordinated with the electrical rough-in. When we’re brought in after drywall, it gets priced twice and somebody’s change order pays the difference.

Do you work with general contractors and electrical contractors?

Yes, regularly. The division of labor is usually straightforward: we handle the fire alarm design coordination, submittals, panel and device work, programming, and final testing; the electrical contractor often handles pathway and wire pull under our direction; and the GC gets a sub who shows up to coordination meetings, answers the phone, and doesn’t leave the fire alarm inspection as a surprise at the end of the job. What is a BDA or ERCES, and does my building need one?

An ERCES — emergency responder communications enhancement system, often called a BDA for its bi-directional amplifier — boosts public-safety radio coverage inside a building so firefighters’ and police radios work in stairwells, basements, and interior spaces where signal dies. Whether your building needs one depends on your AHJ’s radio coverage requirements and on measured signal performance in the building — it typically surfaces at new construction, major renovation, or after responders report dead spots. That’s a determination made by testing against your jurisdiction’s requirements, not by a web page. If it’s been raised for your building, we can talk through how the process works.

Do you do residential work?

Our work is commercial and institutional — office buildings, apartment and condominium buildings, municipal and public-housing properties, schools, industrial facilities, and similar occupancies. Apartment and condo buildings sometimes get filed under “residential,” but from a fire alarm standpoint they’re commercial systems and squarely what we do. How do I get a quote?

Installations, upgrades, and takeovers get a site visit first, because a quote built on assumptions gets renegotiated later and nobody enjoys that. Either way, the quote states the scope, the exclusions, and what happens next.

What makes you different from the big national fire alarm companies?

Structure, mostly. National accounts route your building through a queue — a call center, a ticket number, a different technician each visit, and paperwork that lives somewhere in a portal. R&D is built the opposite way: when you call, you reach a person, and if we miss you, we call back.
